For the checklist session, this means a standard category framework that we adapt to the household's actual circumstances rather than presenting a generic list. For digitisation, it means a naming convention, index structure and backup protocol that are consistent across all clients and reproducible by any family member after handover.
Consistency matters in records work. A system built on one person's judgment is fragile; a system built on a written method survives staff changes, client absences and the passage of time.

Scanning is done at 300–600 dpi depending on the document type, producing files that remain legible when reprinted or inspected closely years later. File naming follows a consistent date-category-descriptor format that sorts correctly in any file browser without additional software.
The searchable spreadsheet index is built in a standard format that any family member can open without specialist software, and backup copies are stored in formats that do not require specific applications to access.
A Named Contact Person
Service
Retainer clients are assigned a named contact person from the start of the engagement. This person handles monthly filing, quarterly reviews, backup refreshes and appointment coordination. Communications go to one person who knows the household's filing history, rather than to a general inbox.
For all services, we respond to enquiries within one working day and confirm appointment details in writing before each visit.

All prices are published and include everything in the stated scope. The checklist session at RM 560 includes the appointment, printed and digital checklist, labelled folders, a glossary and a written summary. The scanning service at RM 1,690 covers up to 800 pages, two backups, labelled folders, a printed index and the handover session. The annual retainer at RM 4,560 covers twelve months of ongoing work with a named contact and a year-end summary.
There is nothing to negotiate and no add-on pricing applied after the scope is agreed.
